Job Description Summary
Reporting to the Director of Academic Operations (DAO) and receiving work direction from the Associate Director of Academic Operations (ADAO), the Manager of Marketing and Communications plays a key role in connecting the Department of Biostatistics, Epidemiology and Informatics (DBEI) to its various constituencies. The individual in this position will be responsible for developing and overseeing both internal and external communications. The DBEI is seeking an enthusiastic people person with the skills to communicate across various media, who can work independently and as part of a team, and who is detailed-oriented and well organized.

The Manager of Marketing and Communications will develop and implement a comprehensive digital media and communications strategy to support the goals of the DBEI within the Perelman School of Medicine. The multi-faceted goal of external communications will be: a) to strengthen the public image of the DBEI; b) to effectively transmit information regarding our scientific discoveries and the translation of our discoveries into improvements in health and healthcare, and c) to attract world-class faculty, trainees, and staff. The goal of internal communications will be to maintain and update listservs as well as to implement an effective internal communication hub that will serve to bring our community together.

With input from the DAO, as well as the Department Chair, leadership team, faculty, and staff, the Manager will apply this strategy in promoting department events, activities, and accomplishments to key target audiences; determining relevant media outlets; and developing, designing, writing, and editing content for publication in print and digital media. The Manager will gather and review data to monitor the effectiveness and reach of the department's campaigns and strategy and will identify and develop new opportunities to increase engagement and effectiveness. He/she/they will collaborate with Penn Medicine's Communications to ensure alignment between the department's communications strategy and the PSOM as well as to establish joint marketing and communications campaigns through the use of social, digital, and print media.

The Manager will plan, coordinate, and oversee the design, production, and distribution of the department's annual report under the supervision of the DAO. This role also oversees all aspects of digital media, including social media channels (Facebook, Instagram, and twitter) and the departmental website, direct mail campaigns, and special projects. The Manager will also develop and implement a departmental podcast. This individual is the primary liaison with all design and social media consultants, overseeing their work and adherence to project timelines.

This position will also work with administrative staff throughout the department to create a seamless process for departmental event coordination (e.g., conference vendor application) as well as coordinate event marketing, including email announcements and social media updates.

Job Description

External Communication/Marketing
  • Plan, implement, and maintain a comprehensive communications/social media strategy including long-range planning, developing original copy and designs, data analytics, monitoring and reporting on trends, directing social media and design consultants specifically regarding the creation of a new website, identifying and capitalizing on opportunities, including creating a department podcast. Proactively seek, curate, design, and publish new content for social media channels; research and target specific markets and audiences and monitor analytical data in order to implement new strategies as necessary.
  • Partner with senior leadership and consultants for website redesign and new logos. Develop and publish innovative content for the department website and ensure the relevance and appropriateness of all website content through regular maintenance. Work closely with Penn Medicine Communications to ensure that the website adheres to School and University-wide brand standards.
  • Work with faculty and Penn Medicine Communications on press releases to generate media accessible to a non-scientific audience; build and maintain professional relationships with partners across the PSOM and the University.
  • Communicate department name change to internal and external audiences.
  • Partner with senior leadership and consultants to draft and edit text for the department annual report.


Internal Communication/Marketing
  • Manage mass communications including composition of email text and maintenance of the DBEI's listservs and MailChimp account.
  • Develop and maintain an internal communication hub to house important information as well as to be used as a direct messaging outlet for the community.
  • Partner with relevant staff to market various department events, including identifying a seamless process for departmental event coordination (e.g., conference vendor application).


Qualifications

The incumbent requires a strong work ethic, professionalism, commitment to integrity, and strict adherence to maintaining confidentiality when needed. A high degree of initiative is required, as is a proactive approach that anticipates the needs of the Office of the Chair. The candidate must have a proven ability to work collaboratively and professionally with all levels of an organization, preferably an academic organization.

  • A Bachelor's Degree and three to five years of experience in communications, or equivalent combination of education and experience, are required; three to five years of experience are strongly preferred
  • Ability to demonstrate understanding of and proficiency with digital and social media platforms, and established knowledge of the broader marketing landscape, required.
  • A successful candidate will have proficiency in email marketing programs, website analytics, listserv management, and design software. Experience in Adobe Premiere Pro, or a similar program, for video editing, and Adobe InDesign, or a similar program, for page layouts and graphic designs is preferred but not required.
  • Excellent written and verbal communication skills is required, and ability to work with diverse constituencies, both internally and externally, and to maintain critical timelines with external partners.
  • A successful candidate should have exemplary project management and problem-solving skills and be able to effectively work collaboratively and individually.

Salary offers are made based on the candidate's qualifications, experience, skills, and education as they directly relate to the requirements of the position, as well as internal and market factors and grade profile.
